The Exhibitor Playbook
Before. During. After.
A practical operating system for turning a temporary booth into useful conversations, credible coverage and measurable next steps.
Build the reason to stop.
Choose one win.
Prioritize awareness, qualified meetings, trials, orders, partnerships or media. One clear outcome gives the team a common definition of success.
Make the value clear.
Everyone should be able to explain who you help, what changes and why this show matters, without reciting a long company history.
Design something to see.
A demonstration, comparison, reveal, tasting or participant experience is easier to cover and remember than a static display.
- Invite priority customers, partners, media and creators to specific times.
- Prepare accurate specifications, approved claims, creator credits and release permissions.
- Give every team member a simple qualification question and follow-up path.
Run the booth like a small newsroom.
Assign roles.
Name a greeter, qualifier, demonstrator, decision-maker and content lead. Rotate before energy and attention drop.
Repeat key moments.
Post demonstration and guest times. A reliable schedule helps attendees, organizers and media amplify what you are doing.
Capture context.
Record the person’s name, company, permission and the meaning of each photo or quote while the details are fresh.
- Ask what brought each visitor to the show before beginning the pitch.
- End every promising conversation with a meeting, sample, trial, proposal or promised answer.
- Keep one spokesperson available and one clean demonstration area camera-ready.
Follow up like you were listening.
Triage in 24 hours.
Sort contacts by role, fit, urgency and promised next step while the team can still add useful context.
Deliver first.
Send the specification, introduction, quote, sample or answer you promised before asking for more time.
Measure movement.
Count qualified meetings, trials, proposals, orders, media uses and next steps. Badge volume alone is not a result.
Make the story easy to understand.
